EXECUTIVE ASSISTANT // SILVERLAKE, CA


**Please note that this is not an entry-level position. We are looking for someone with 3 years of previous experience as an Executive Assistant.**

Position Summary:

Girlgaze is looking to add a quick, fun, dedicated and experienced Executive Assistant to our passionate and scrappy team in the Silver Lake neighborhood of Los Angeles. You’ll be acting as the right-hand person to our COO, engaged in all aspects of building and scaling this fast-growing, venture-backed company committed to closing the gender pay gap, one awesome job at a time.

The ideal candidate is digitally native, technically proficient and thrives in a scaling, startup environment. You’re creative, sharp, smart, detail-oriented, super organized and independent. You’ll need to exercise good judgement in a variety of situations, have excellent written and verbal communication skills and the ability to juggle many priorities at once.

What you’ll do in this role:

  • Let’s be honest -- there’s a lot of meetings. You’ll be scheduling and managing several extremely active calendars, arranging complex and detailed travel plans, preparing agendas, itineraries and documentation/research in advance of meetings, and often taking and distributing meeting notes. You’ll need to be a very clear communicator, able to operate independently and looking to anticipate needs and provide solutions without having to be asked or directed.

  • There’s also a lot of email and documents. You’ll be composing and preparing correspondence, reviewing and filtering incoming messages and tracking and organizing a ton of documentation. You’ll need to wrangle DocSend, DocuSign, Dropbox, Google Drive, WeTransfer and other document storage/sharing tools as needed, and have an airtight approach to organization to make sure we can quickly find what we need, when we need it.

  • Research and materials preparation skills are critical. You’ll spend time tracking down data and references and preparing findings in a variety of formats that include Google Docs & Sheets, Powerpoint, Keynote, MSWord, Excel and Adobe Acrobat. Working familiarity with all of these is required and the ability to quickly get comfortable on new platforms/tools is also crucial.

  • Did we mention this role needs to be digitally savvy? You’ll be administering our GSuite and Basecamp systems, helping others navigate Expensify and Gusto, and taking shifts with our Facebook, Instagram, YouTube and other social media accounts. You’ll also be the first one called when the printer or shredder breaks or needs supplies, or the wifi is acting up. A high degree of comfort learning, maintaining and troubleshooting technical systems is vital.

Our ideal candidate is:

  • Technically proficient with MS Office, Google Docs, Google Sheets, GMail, GSuite, Adobe Acrobat, Slack, Basecamp, DocSend, DocuSign and Social Media Platforms Instagram, Facebook, Twitter and YouTube are required. You don’t need to be an expert on any of them, but you need to be able to function successfully on all of them without support.

  • In possession of awesome Administrative skills: we’re looking for a masterful planner, organizer, communicator, meeting wrangler and travel facilitator

  • A self-starter and independent problem solver, with good judgement and emotional maturity

  • Proactive and high energy, actively seeking opportunities and proposing solutions

  • Calm under pressure, with a positive outlook

  • Excited by challenges and committed to delivering

  • Experienced. This isn’t an entry-level role, we need someone who can hit the ground running and keep pace with our rapidly scaling team.We are looking for 3 years of experience
