EXECUTIVE PERSONAL ASSISTANT // BRENTWOOD, CA
Busy, stay-at-home Ph.D. Mom is seeking an enthusiastic and intelligent Executive Personal Assistant to help organize and run her life. The position will be based in Brentwood area of Los Angeles.
Ideal candidate has managed a busy calendar before and is the kind of person who is just as happy spending a day in front of the computer as running errands. She sits on the board of several hospitals and foundations, and has recently started an organic food business.
What We Are Looking For
Our ideal candidate has worked in chaotic households without a history of long-running systems. This is NOT a role for a person who prefers to step into a household that has ran the same way for the past ten years. You like being thrown into the deep end. You should be comfortable researching and implementing new systems on the fly, and making recommendations when efficiency can be improved. You should enjoy building new things more than simply keeping existing systems running.
The position is highly interactive and involves constant communication with the Principal and her other team members. Ideally you have worked with highly collaborative bosses before, not the kind who simply left you a to-do list and you rarely saw or spoke to them. You should be very comfortable AGGRESSIVELY pursuing information and answers from the Principal when necessary.
The typical schedule will be Monday to Friday (approx. 8:30am – 5:30pm) with weekend flexibility and possibly some availability to travel. You should be open to receiving texts and emails after hours but are not expected to respond until working hours. You have a sense of your own limits and don’t need to be told when to take breaks or time off; you know how to take care of yourself in order to avoid burnout.
Job Duties
Manage multiple, busy calendars for both the Principal and her 2 children’s schedules.
Act as first point of contact with professional organizations, members, and social contacts; including heavy email correspondence and phone calls.
Remind Principal of important tasks and deadlines.
Coordinate appointments for family members.
Expert researcher with regards to toxin-free materials and cleaning products.
Work closely with the Estate Manager to ensure the smooth running of the household, performing administrative and household tasks as well as working closely with the calendar management,
Help with event coordination (logistics / invitations / RSVP / meal planning) as needed.
Online shopping and receiving/unpacking of items.
Gift and thank-you management
Ensure all pertinent members of household always know and understand every element of things on calendar (e.g., transportation / packing snack / what to wear / what time to leave / etc)
Requirements:
MUST HAVE at least 1 job that you have stayed at for 2+ years with a reference from it.
Experience working in households with young children (or you have children).
Deep knowledge of Google Calendar and Google Drive.
Strong time management skills
Enthusiastic problem solver
Thick skin / open to feedback.
Prior experience working for a boss with ADHD is a major plus (please highlight in cover letter).
Compensation
Salary: $80K - $115K, DOE
