● Executive Coordinator for Entertainment Company


Job Description

● An exciting opportunity in the entertainment industry to grow with an

emerging multimedia entertainment company

● This fast paced working environment requires coordinating multiple

business schedules with the CEO, as well as coordinating staff/team

requests for the CEO

● This position is mainly remote but some travel is required


Responsibilities

● Facilitating and working with the CEO to prioritize and schedule all

business related needs

● Creating and managing daily debriefs through an “End of Day” email,

including next day itinerary

● Maintaining schedules utilizing iCal / Google Cal and facilitating

communication for all business related projects. Including but not limited

to the verticals below:

○ General Meetings and work events

○ Weekly Team meetings

○ Weekly Client's Company & Business Dept. meetings

○ Getting Curious Podcast

○ Productions / TV Projects

○ Brand endorsement deals / Client's Corp. Coordination

○ Literary meetings / Book tours

○ Comedy tours

● Managing a large volume of email correspondence and directing them to

the correct vertical when necessary

● Scheduling and facilitating all CEO entertainment related business travel

and/or working to secure travel arrangements through approved travel

agent

● Coordinate / Delegate (with approval from CEO) between CEO’s agents,

business managers, legal team, Client's staff, independent contractors,

and vendors including wardrobe stylist, and hair and makeup team

● Managing the Project Tracker

● Coordinate and identify with the CEO when contracts are necessary for

new hires, outside work related contracts, and third party vendors with the

legal department.

● Keep the website and google suite administrators up to date with most

recent projects, digital marketing campaigns, ticket links, etc

● File and update contact information of employees, partnerships, etc.

● Support and facilitate the completion of regular content captures relating

to brand partnerships work with social media brand coordinator to make

sure assets are posted.

● Document expenses and hand in reports to Business management team

● Help to secure and interview appropriate hires or independent contractors

for support if necessary

● Delegate & undertake occasional personal requests


Requirements

● Experience in entertainment based production coordination /

management, and / or executive / administrative assistance experience

preferred

● Proficiency in Apple, iOS, Google Suite/Drive, MS Office/Teams, Dropbox,

Zoom, Slack, LinkedIn, Expensify

● Basic working knowledge of social media platforms as it relates to

partnerships - IG, FB, Twitter, TikTok, YouTube, etc

● Ability to work in a fast paced environment while being solution focused,

positive, open to feedback, and be able to communicate in real time and

effectively with the CEO

● Consistency in running all business decisions past CEO

● Familiarity with office organization and optimization techniques

● High degree of multi-tasking and effective time management skills

● Excellent written and verbal communication skills

Compensation

● 90K
