HOUSE MANAGER/FAMILY ASSISTANT NEEDED // VENICE BEACH, CA


Family Assistant/House Manager

You'll own the family operating system for a busy family of 5 with two professional parents and three small children to ensure seamless day-to-day operations of their personal and home life in Venice, CA. Looking for a highly organized and experienced professional family assistant/house manager with orientation towards minimizing stress and maximizing enjoyment. Warm and personable family with adorable children is hoping to have a long-term relationship with someone who is similarly looking to grow with them over the years. Initial salary is highly competitive based on experience and skillset. Loyalty and tenure will be valued and rewarded over time.

Ideal Candidate Experience and Requirements:

-5+ years of either family/personal assistance, executive assistance, house management or a combination thereof in a high-velocity work environment

-Experience managing and collaborating effectively with employees and vendors

-Strong organizational and communication skills

-Proficiency and understanding of relevant software tools for calendaring, coordinating, and managing projects such as Google Calendar/Sheets/Docs and ideally productivity or project management tools such as Asana, Trello etc.

-Strong interpersonal skills to partner effectively with everyone they interact with in the role

-Positive attitude and enthusiasm for doing whatever needs to be done

-High integrity and professional discretion

-Comfort working in a dynamic, ever-evolving environment

-A valid driver's license and a car to run errands or do pick-ups around Los Angeles

-Reasonable proximity to the Venice area with ability to be at the house consistently during normal working hours and whenever necessary outside of them. Regular schedule generally 9-5:30 pm Monday-Friday with the expectation that the Family Assistant/House Manager will try to be flexible to address any special situations that come up outside of normal working hours, such as staying later to prepare for a dinner party or being available to coordinate travel logistics when they are traveling.

Core Responsibilities Include:

Staff management:

-Maintain schedules & needs of two nannies, two baby nurses, + housekeeper. Oversee the day-to-day run of household.

- Preliminary interviewing for new household candidates as needed for principals

-Train new employees on all aspects of job and family flow

-Work with house HR/accounting on hiring, which incldues onboarding and protocols

Household:

-Own management of family calendar, including events, staff schedule, kids' activities, social, and travel calendar

-Oversee outside vendor management, including necessary handymen, exterminators, all technical support, gardners, etc.

-Coordinate as needed with family business manager

-Grocery orders and shopping to keep the house stocked with family and staff needs

-Receiving and returning orders as needed.

-Prepare and stock home for in-house events.

-Researching and purchasing of event tickets, gifts, and experiences for principals

-Book Covid tests and ground transport for outside events.

-Wrap and ship birthday and holiday gifts for extended family and friends

-Dinner reservations and ground transport if needed

-Assist with grooming and veterinary appointments for the family dog

-Seek out and/or manage vendors for home improvements as needed

- Utilize time while family travels to address any larger home projects

-Keep updated house manual, including addresses, passwords, financial information, vendors, service providers, etc.

Travel:

-Create detailed travel itineraries for principals and service providers

-Ensure and keep up with tech support for high-speed internet at all travel locations

-Private plane correspondence once the plane is booked

-With with travel agency on accommodations for travel destinations

-Ground transportation and rental car bookings

-Stock houses with groceries and all necessities at all locations for the duration of stay

-Reservations and appointments at destinations as needed

-Commercial travel arrangements for nanny shift changes. (Ground and flight when they switch out @ destinations)

-Upkeep of everyone's passports & global entry status. Business:

-Work in tandem with both principals' business employees as needed

-Help principal from home office- order daily lunch and needs, greet guests for at-home meetings. Work closely with his executive assistant to keep home office life in balance

-Work with principal's design studio as it coincides with home deliveries and art installations
